In its lifecycle, an asset typically travels through a number of statuses. This diagram aims to visualize the paths an asset travels, over the course of its lifecycle:
We'll explain the 8 statuses in this diagram from left to right:
1. Canceled
2. Draft
4. (Edit) Draft
5. Scheduled
6. Available
7. Expired
8. Withdrawn
1. Canceled
Any asset version that is in a Draft status, can be canceled. A canceled asset version remains visible throughout Cohero. A cancellation can't be undone, however canceled asset versions do offer the option to either:
Edit this version
Create new version
2.Draft
An new asset (opposed to a new version to an existing asset) will always carry the status 'Draft'.
3. (New Version) Draft
A new version to an existing asset will carry the status '(New Version) Draft'. In this status, both the asset itself (on the canvas) is editable, as well as its info and attachments.
4. (Edit) Draft
When somebody starts an 'Edit this version', Cohero will generate a (Edit) Draft version of that asset. In this status, only the asset's info and its attachments are editable.
5. Scheduled
When a draft asset is ready (and approved), it is ready to be released. The last step in Cohero's release journey offers the user a choice of when he wants to make the asset available. He can choose the option to schedule the release of the asset. In this case, the user selects a (future) date on which the asset will automatically become available. In the meantime, it will carry the status 'Scheduled'. On hover, that status will reveal the scheduled date.
6. Available
When a draft asset is ready (and approved), it is ready to be released. The last step in Cohero's release journey gives the user the choice of when he wants to make the asset available. When he choses to release it immediately (and does not choose a date), the asset's status will change to 'Available'.
7. Expired
An important part of an asset's general info is its Expiry date. The expiry date determines when the asset changes its status from 'Available' to 'Expired'. An asset with the status 'Expired' has reached, or passed its expiry date.
8. Withdrawn
In specific circumstances, it can be harmful to keep an asset in circulation (for instance when regulations have changed, or when a product is taken off the market). In those cases, users can choose to withdraw the available asset. Though a status today, this will later mean that it will be pulled back from further touchpoints that are using that asset (CMS, CRM, Email tools).
