In an iterative creation process that can potentially involve multiple creators, stakeholders, subject matter experts - there's one role that holds a key position: the Asset Manager. The Asset Manager's main responsibility is an organizational one: to ensure the creation and review process keeps moving along, and to obtain the approvals in time for the aspired release date.
This article describes the role in further detail:
1. Importance of the role assignment
When you start a new draft process (either to create a new asset, a new version, or merely to edit an available asset's info), a key first step is to assign the Asset Manager. To do so, look at the top-right corner of your asset page:
'Why is it so important to assign this Asset Manager?'
The Asset Manager is a key role for Cohero to keep informed throughout the asset creation process. (S)he'll typically be the one creating tasks to others - but more importantly: he coordinates the approval process. All notifications in the approval process are sent to the Asset Manager.
2. Asset Manager versus Asset Owner
In the context of an asset, we acknowledge two important roles: Asset Manager, and the Asset Owner. And while in some cases these roles can be assigned to the same person, the responsibilities are quite different. There's several differences between the two roles:
Asset Manager | Asset Owner |
Responsible for actively managing the creation, review and approval process of an asset. Key contact for:
| Responsible for the asset's maintenance, accuracy and lifecycle reviews. Key contact for:
|
Responsible to release in time | Responsible to maintain |
Only present while the asset is in Draft | Present throughout all statuses of the asset |
Max. 1 user (or 1 team) | Can be multiple users (or teams) |
Executes the creation | Funds / Sponsors the creation |
3. Switching between Asset Manager(s)
During the creation process of an asset, it is very possible that the responsibility to manage the process shifts to somebody else. Either temporarily (eg: a holiday break, or sick leave), or permanently (eg: following a change in people's responsibilities, or people leaving the company).
To facilitate this, one can easily re-assign the Asset Manager role. To do so, simply open the Asset Manager field on the asset page again, and select a different person or team to fulfill the role. The change is instantly processed: this person is now in charge!
