In the context of collaborating on a draft asset, a task can play an important role. It helps the Asset Manager (or other parties involved in the creation process) to ask others to accomplish something, before a given date. The task menu is a basic, but vital element to the asset page.
1. Understanding the Task menu
The task menu sits on the left-hand side of the asset page. It unfolds by clicking the icon:
When opened, the Task menu shows its various functionalities:
Button: a button to create new tasks
Toggle: a toggle, to show only tasks assigned to you (versus all tasks)
(Open) task cards: the first task cards represent open tasks. Each card contains:
Status (open/closed)
Task name
Due date
Assignee
Priority flag
an Action menu (...)
(Closed) task cards: the bottom set of tasks are closed tasks. They contain the same information as open tasks. The list of closed tasks can be hidden and expanded.
2. Creating new tasks
When the user clicks '+ Task' an empty new task is created. It is not yet saved, but it is ready for you to specify it further. When you're ready, press 'Save' - that will save the task, and automatically inform the assigned user that a task was assigned to him/her.
3. Templated tasks
In some workspaces, users can leverage Templated tasks. Templated tasks are typically tasks that are created very often by the same logic: the same assignee(s), the task task description, and perhaps even the same due date calculation. Those types of tasks lend themselves well to be templated.
If available, a list of templated tasks is available via the '+ Task' button's extension, which opens up a list of templated tasks to choose from.
Note: when a template is selected, that task is saved automatically, and the assignee is notified straight away.
4. Editing existing tasks
After a task is saved, it is still possible to edit that task. For example to add more assignees, change the due date, or even to mark the task as urgent. Most often, one may wish to edit the task, to provide additional context in the shape of a description. All of this is possible. To do so, simply click on the task card in the Task menu. A dialog will appear to its right, containing all the information of the task:
5. Closing (and reopening) tasks
Tasks are very easy to close, or to reopen. When you're in the Task menu on the asset page, simply click the status icon in front of the task name. The task will immediately change its status to 'Closed' and move to the bottom section of the Task menu:
Tasks can also be closed from the Task list on the Home page. To do so, simply click on the status icon in front of the task name, to close the task immediately. You don't have to go to the asset page to do so:
