The login process follows the following journey, which acknowledges 2 situational dependencies (step 3 and 4):
1. Enter your email address
To enter Cohero, a user needs to authenticate himself. This way we establish that the user is indeed who he claims he is, and has access to the specified inbox. The user enters his email address, and clicks 'Continue': this will trigger a temporary (6-digit) one-time password to be sent to his inbox.
2. Enter your one-time password
The email that the user receives offers a generated one-time password, which will expire in 10 minutes:
Meanwhile, Cohero will now switch to a screen awaiting the 6 digit password to be entered: when that is entered, the screen will automatically complete the authentication.
3. (Situational) Select Workspace
This step is situational: It only occurs in a specific case: only when Cohero members have access to multiple workspaces, and Cohero has not registered any recent activity by this member in any of these workspaces, do they need to select the workspace they wish to enter.
Members with access to only 1 workspace: are skipping this step, and proceed to the last step in the workflow journey.
Members with multiple workspaces, and recent activity in 1 workspace: are skipping this step, and proceed to the last step in the workflow journey - towards the last visited workspace.
4. (Situational) Single Sign-on (SSO)
This step is situational: it only occurs when a workspace has SSO configured (a feature available, yet not mandatory, on all Enterprise licenses). In this step, the user makes a connection between his Cohero account, and his account on his (typically) corporate Identity Provider.
Depending on the applicable Identity Provider (idP), the user will be required to re-authenticate himself with the steps outlined by that idP. The most common method we see is Microsoft Authenticator.
The frequency with which a user needs to re-authenticate with SSO depends on the configuration on the company's side. From Cohero's side, it can be a one-time excercise.
