Share Menu (dialog overview)

This article provides a functional overview on the 'Share Menu' dialog.

Written by Bram Timmers

Many items in Cohero offer a Share Menu - enabling users to control who has access to that item, and (with sufficient permissions) manage permission levels of everybody collaborating. The Share Menu on an item can be opened by using the share icon in the top-right corner:

A dialog will open containing these five key elements:

1. Searching for Members

This part of the dialog lets you search for specific workspace members by their name (first name and/or last name). When you enter text in this field, only members that match your keywords will appear below.

2. Visibility Toggle

The visibility can be switched between 'Public' (the default value, when you create a new item) and 'Private'. Public items are accessible to anyone with their Default access levels. Private items have restricted access only: at the core, they start out as accessible only to the Creator and whomever else switched the item's visibility to Private.

More on 'Default Access' and 'Specific Access' in the dedicated articles.

3. Creator

The member who created the item you are on (eg: the Asset, or the Space) is earmarked as the 'Creator'. This person has 'Can manage' permissions by default. It is also the Creator who receives requests for access.

4. Default Access list

This part of the dialog, carries the members and teams that have standard access to this item - based on their regular role and default permission.

5. Specific Access list

This part of the dialog, carries the members and teams that were granted different permissions / access than their roles would normally get. In other words: exceptions were made for these people or teams for this particular item.
