Edit this Version

This article describes how one can make edits to an available asset version's info, or attachments.

Available assets reflect their asset info, and their attachments as 'read-only': they're locked to ensure that the approved version reflects exactly what was approved. However, there's various reasons why one may want to update the asset info or attachments:

  • A quality assessment took place, and a report containing the screening's results needs to be appended as an attachment

  • The asset's expiry date needs to be extended (moved back)

  • Ownership of the asset has changed

  • A quality assessment showed a lack of evidence for claims made in the asset - additional evidence needs to be appended as attachment;

  • The usage rights need to be updated (from internal to confidential)

  • ... and more

In this article we'll cover:

1. How to start editing an available asset?

On an available asset, open the Action menu (...) next to the asset name, and select 'Edit this version'.

Cohero will now immediately generate a (Edit) Draft Version where you can make the desired adjustments to the asset info and attachments. Before doing so, don't forget to capture the due date (by when you aspire to be ready with your edits), and assign the Asset manager.

2. What can I edit (and what is locked)?

An (Edit) Draft asset version does not permit any changes to the asset itself (the asset on the canvas is locked). This is by design, to ensure the asset's integrity in its current version.

Otherwise, most features are still available, to manage and do your desired changes:

  • Asset info is fully editable

  • Attachments is fully editable

  • Asset Manager and Due date are fully editable

  • Tasks can be used at all times

  • Comments (pinned, selected texts, or comments on the side) can be used at all times

  • Approval menu is ready to start

3. How do I publish my edits?

Condition to release: Before you can publish your edits, you need to have completed an approval workflow.

To publish the edited version, open the Action menu (...) and select: 'Release changes'.

The release journey is significantly shorter for Edits (in comparison to 'New Versions' or new assets). The first dialog will appear, listing any info fields you have left empty. A second (and final) dialog message will ask for confirmation, before the asset is released:
